The help for the Archive is divided into two sections. Select one of the links below to get help on that area of the archive.

Overview of the Archive

     Browse Issue

Your association's on-line archive was created to be a digital copy of the publication that you enjoy as part of your membership. With the digital archive you will now be able to search past issues using title, author, abstract or by doing a full-text search. Searching specific years and/or months of the archive can narrow the focus of the search.

Once the desired article or issue has been located through the various means of searching, a click on the article or issue link will display the corresponding page image. What is displayed is an electronic copy of the original page that was scanned in full color and saved as a JPEG image. JPEG images will view natively in web browsers so there is no need for any type of plug-in.

Once a page of an article or issue is displayed, notice that it is nearly an exact representation of the original. This is accomplished through the use of imaging. Since the displayed pages are images, or electronic photocopies, there is no way to cut and paste data from an article or page retrieved from the archive into a word processor document.

There are two methods to use to search the archive, either by doing a keyword search or by selecting a particular issue. Both of these methods are explained below.

KEYWORD SEARCH

A keyword search allows the user to search either of the two databases that make up the archive, the Indexed database and the Full-Text database. The difference between the two databases is explained below.

When searching either of the databases, Boolean Operators as well as Proximity Searching can be used.

Boolean Operators:

apple AND orange - The AND operator will locate only the documents that contain both the words apple and orange. The shaded area represents the search results.

apple OR orange - The OR operator will locate the documents that contain either the word apple or orange. The shaded area represents the search results.

apple NOT orange - The NOT operator will locate the documents that contain the word apple but not the word orange. The shaded area represents the search results.

apple XOR orange - The XOR operator will locate the documents that contain either the word apple and the word orange, but not both apple and orange. The shaded area represents the search results.

Proximity Searching:

apple ADJ orange - The ADJ operator locates documents that contain words that are immediately adjacent to each other. In the example above, apple must come before orange in the document. By changing the search to apple ADJ50 orange, documents that have the word orange no more than 50 words after apple would be located. Numerical range is from 1-99.

apple NEAR orange - The NEAR operator is similar to the ADJ operator, except that the words may occur in the document in any order. As with the ADJ operator, the words may be within 1-99 words of each other, apple NEAR50 orange.

Indexed Database:

The Indexed database is comprised of the title, author(s), and abstract of each article with in the archive. In instances where there is not a traditional abstract, the first two paragraphs of the article are substituted. All of the fields or individual fields of the database can be searched. The focus of the search can be narrowed by limiting the search to a certain year or month, or range of years or months.

The results from an Indexed database search will allow the user to view the article that contained the search word or view the issue that contained the article.

Full-Text Database:

The Full-Text database is comprised of OCR (Optical Character Recognition) output from all of the images within the archive. The content of this database will allow the user to find any instance of a word or words within the entire archive, this would include advertisements which would not be accessible in the Indexed database. As with the Indexed database search, the focus of the search can be narrowed by limiting the search to a certain year or month, or range of years or months.

The results from a Full-Text database search can be sorted by articles that contained the search words, or by individual pages that contained the search word. It is important to note that any search in the Full-Text database will take longer than the same search in the Indexed database, as there is more data.

BROWSE ISSUE

In the Browse Issue section a user can browse a particular issue within the archive, or retrieve and view all the articles within a particular issue.

To browse an issue in a page-by-page mode, select an issue from the dropdown box and click the Browse Issue button. The cover of the desired issue will be displayed with navigation buttons to move forward or backward 1 page, 5 pages, or 20 pages at a time.

To view all of the articles contained in a particular issue, select an issue from the dropdown box and then click the Retrieve Articles button. The last dropdown box will be populated with all of the articles for that issue. To view one of the articles, select it from the dropdown box and click the View Article button.
